Automating the Monthly Business Review
Turn a four hour report into a five minute review.
The problem
The Monthly Business Review is LimeChat's core retention touchpoint, the recurring moment where a CSM shows a customer the value delivered and sets up the month ahead. But building each one was slow, manual work: pulling usage and performance data, interpreting it, writing the narrative, and composing a customer ready email plus a detailed document. LimeChat put this at roughly four hours per MBR. Across a full book, that is a near permanent backlog of preparation, and every hour of it is an hour not spent with the customer.
What RetainSure did
RetainSure deployed a dedicated MBR agent for each CSM. The agent assembles the account's monthly data, generates the complete business review narrative, and drafts the customer facing email and a detailed document end to end.
The CSM's role shifts from author to reviewer. They open a finished draft, check it, and send. The customer facing quality is unchanged. Only the hours behind it disappear.
The impact
Each MBR dropped from about four hours to about five minutes of review, a 98% reduction. At the current cadence of 209 automated MBRs a month, that returns roughly 820 CSM hours every month, about 9,800 hours a year, handed back to the team to spend on customers instead of reporting.
Rolling it out across the whole team
One automated report is a demo. A changed monthly cycle is a result.
Automating a single report proves the idea works. It does not change how a customer success function runs its month. LimeChat runs 11 agents, one per CSM, across its core and enterprise books, so every CSM's reviews are generated on their own accounts and personalized to the way they work.
That is what takes the cadence to about 209 MBRs every month across the managed book, rather than a handful of showcase accounts.
